Configure email signatures

Add per-inbox signatures that Letterbook appends to draft replies.

What this guide covers#

Email signatures let each active inbox use a consistent closing in replies.

Signatures live in Settings > Templates > Email Signatures. Letterbook shows active inboxes in this section and lets you add, edit, or delete the signature for each one.

How signatures work#

Each active inbox can have its own signature. When a draft reply is created for that inbox, Letterbook appends the configured signature to the draft.

Use this for content that should depend on the sender address:

  • support@company.com can use a support team signature.
  • billing@company.com can use billing-specific language.
  • A dedicated VIP or enterprise inbox can use a different closing.

Signatures are different from snippets. A signature is automatic and tied to the inbox. A snippet is manually inserted by the agent when it is relevant.

Add or edit a signature#

  1. Go to Settings > Templates.
  2. Find Email Signatures.
  3. Choose the active inbox you want to configure.
  4. Select Add or Edit.
  5. Enter the signature content.
  6. Save.

If you save an empty signature, Letterbook treats it as no signature for that inbox.

Keep signatures short. Long signatures make tickets harder to scan and can create noisy reply threads.

A practical signature usually includes:

  • A short closing
  • Team or company name
  • Optional support hours or escalation note
  • Required legal or compliance footer, if your company needs one

What to avoid#

  • Do not put troubleshooting instructions in a signature. Use a snippet instead.
  • Do not put private escalation rules in a signature.
  • Do not repeat the full company address or legal disclaimer unless your team requires it.
  • Do not rely on a signature to explain what the agent actually did for the customer.

Testing#

After adding a signature, open a test conversation and create a draft reply from that inbox. Confirm that:

  • The signature appears at the bottom of the draft.
  • The signature is appropriate for the selected inbox.
  • The reply still reads naturally if an agent adds or removes paragraphs above it.
  • The signature does not duplicate content already in the reply.
